Almost everything operational can be handed off: cleaning, maintenance, guest support, accounting and the commercial side. What the owner should keep are the big decisions: how much to invest, what standard to hold and what risk to accept. Handing off well means defining who does what, to what standard and how it is checked.
What can be handed off
Housekeeping and laundry
The clean between stays is the most repeated task and the one that most affects reviews. It can go to your own team, a contractor or an operator. What matters is the standard: a checklist per room, photos when done and a maximum time between check-out and the next check-in.
Laundry is solved with an outside service or with a double stock of linens, so a clean set is always ready. Check who replenishes the stock when something is damaged or lost.
Maintenance
Handing off maintenance means having someone who handles the urgent (a leak, an air conditioner that does not cool) and who also does preventive checks. Set a spending limit: up to what amount they can repair without asking you, and above which they must consult you.
- A list of trusted vendors by specialty: plumbing, electrical, air conditioning.
- A calendar of periodic checks.
- A record of what was repaired, when and at what cost.
- A contact number for after-hours emergencies.
Guest support
Guests write before, during and after the stay, at any hour. Handing off this function means having fast answers, clear arrival instructions and a plan for problems. A late reply to a guest who cannot get in turns a small detail into a bad review.
Decide what is answered with prepared messages and what needs a person. Repeated questions, like the wifi or parking, are handled with templates. Complaints and emergencies are not.
Finance and reporting
Someone has to collect, pay vendors, keep each property's books and give you a clear statement. Ask for a periodic report with income, costs and what is owed to you, one that can be reconciled with actual payments. If the information arrives confusing, you are not delegating: you are losing visibility.
Pricing, marketing and distribution
The commercial side can also be handed off. Whoever runs it decides the rate, maintains the channels and looks after photos and descriptions. For the owner, what is essential is knowing which decisions that person makes alone and which they consult on, and which results are reviewed together.
What not to hand off without judgment
- The property's quality standard: you define it and someone else enforces it.
- Spending and approval limits.
- Access to bank accounts and channels: grant the minimum access needed.
- The relationship with the community or the homeowners' association, if there is one.
How to check it is being done
Handing off is not disappearing. Define a few signals you can check without effort: recent reviews, photos of each clean, response time on messages and the month's financial report. If those four signals look good, everything else probably does too.
Visit the property from time to time, or ask someone you trust to do it. An unannounced visit mid-month tells you more than any report.
How much to hand off at first
You do not need to hand off everything on day one. Many owners start with cleaning and guest support, the tasks that eat the most time, and then add finance and the commercial side. Delegating in stages lets you learn how the person helping you works, and adjust the agreement before giving them more.
Finally, put an emergency plan in writing: who calls whom, at what hour and with what authority. When something serious happens at eleven at night, nobody should be wondering whose turn it is.
That plan should include the phone numbers of whoever can authorize an urgent expense, and a copy of the keys or the digital access in the hands of at least two trusted people.
A checklist before handing off
- Did I write down what each task includes and to what standard?
- Is there a defined spending limit?
- How do I learn about problems and how fast?
- Do I get a periodic report I can understand and verify?
- What happens if the person or team is unavailable?
- How does the relationship end and what do I take with me?
You hand off execution, not responsibility. Whoever delegates well looks at a clear report, not at every task.
